Customer Support Staffing Calculator
Enter your own operating assumptions to estimate the number of support agents needed for a day.
A QUICK WALKTHROUGH
How to use this tool
- Enter daily volume, productive hours, concurrency, and average handle time.
- Add a planning buffer and shrinkage percentage if needed.
- Calculate the estimated agents and review the model boundary.
User-entered planning model
Adjusted volume = volume × (1 + buffer%). Per-agent productive output = productive seconds × concurrency ÷ AHT seconds. Headcount = ceiling(adjusted volume ÷ per-agent output ÷ (1 − shrinkage%)).
Scope boundary
This is a daily arithmetic estimate. It distinguishes productive-time hours from async concurrency and is not a live queue, occupancy, or phone service-level model.
GOOD TO KNOW
Common questions
What does concurrency mean here?
Enter the average number of asynchronous customer conversations one agent can handle at once. Use 1 for strictly sequential work.
What are productive hours?
Enter hours per agent available for the support work being modeled, after your own planned exclusions.
Does this guarantee service level?
No. It does not model arrival timing, queueing, occupancy, response targets, breaks, or phone service levels.
